Universities live and breathe through their physical spaces - classrooms, laboratories, offices, and common areas that must be tracked, allocated, and reported on with precision. For years, HKUST managed its campus space inventory with Archibus, a long-established international workplace management system. As the university's needs evolved, the aging platform grew harder to adapt: the interface felt dated to everyday users, customizations were costly, and local support was limited. HKUST needed a modern system built around how a Hong Kong university actually works, and engaged Beautitag Limited - a long-standing technology partner of the university - to deliver it.
Beautitag designed and built a tailored space management platform to serve as the university's system of record for campus space. Completed in June 2026, the platform covers the full space management lifecycle: a structured space and room inventory, interactive floor plan management, and space allocation tracking across departments. Critically for a UGC-funded institution, the platform produces space inventory reporting aligned with UGC requirements out of the box, turning what was previously a labor-intensive compliance exercise into a routine, repeatable process.
The most delicate part of the engagement was the migration itself. Beautitag built a dedicated data extraction and migration pipeline to carry years of accumulated space records, room classifications, and floor plans out of Archibus and into the new platform - validated field by field so that reporting continuity was preserved from day one. The team worked closely with the university's facilities and IT stakeholders throughout design, user acceptance testing, and rollout, ensuring the new system fit existing workflows rather than forcing staff to relearn their jobs around new software.
The result is a modern, web-based platform that the university's space managers use daily - faster to navigate than the system it replaced, easier to extend, and backed by responsive local support in the same time zone.
